Privacy Policy
What we collect, why we collect it, and what happens to it afterwards. Written to be read rather than survived, because a policy nobody finishes protects nobody.

We decide what this website collects and what is done with it, which makes us the controller of it. This policy covers the website and the enquiries sent through it. Work we do under a signed engagement is also covered by the data terms in that agreement, and where the two differ, the agreement governs the engagement.
It is written against Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data, the general personal data law of the United Arab Emirates.

What we collect
Only what you hand us, and what any web server records in order to serve a page. There is no account to create, no profile built about you, and no data bought from anyone.
When you send an enquiry
- Name
- So we know who we are replying to.
- Email and phone
- So we can reply. The first response is usually a call.
- Company
- Optional, and asked only on the Health Check form.
- What is not working
- Whatever you choose to write. Please do not put passwords, card numbers or anyone else’s personal details in it.
- Health Check answers
- The main problem you selected, and the platform you are on today, where you told us.
When you simply visit
Our hosting provider records the request your browser makes: the page, the time, the address it came from, the referring page and the browser identification string. These are server logs. They are how any website is kept running and secure, and they are not cookies. We also count enquiry submissions per address for a short period, so the contact form cannot be flooded.
When we count your visit
We use Google Analytics to count visits and see which pages are read. It runs for every visitor and sets two cookies. It records the page you viewed, roughly when, the city your address resolves to after Google truncates it, and your device and browser type. It does not record who you are.
Advertising storage, ad personalisation and Google Signals are switched off permanently, so none of this is used to advertise to you or to follow you across devices. If you would rather not be counted, the cookie policy explains how to stop it in your browser.
If you allow session recording
We also use Microsoft Clarity, which records how pages are used so we can see where a layout is confusing rather than guess at it. It captures pointer movement, clicks, scrolling and the structure of the page, and replays them as a session. It sets two further cookies.
This is the most intrusive thing on the website and it is the one thing we ask about. It is not loaded at all until you agree, it is never loaded for anyone who declines or who has not answered, and turning it off afterwards deletes its cookies.
The enquiry forms are masked in the page itself, so what you type into them is excluded from any recording at source rather than relying on a setting. The cookie policy names all four cookies and carries the switch.

Why we collect it
- To answer you
- You asked us a question, and answering it is the reason the form exists. The basis is your consent, given when you submit it.
- To prepare a proposal
- Scoping work means holding what you told us about your operation while we cost it. The basis is taking steps at your request before entering a contract.
- To deliver and support what you engage us for
- The basis is performance of the contract between us.
- To keep the site standing up
- Server logs and submission counts exist to stop abuse. The basis is our legitimate interest in a site that works.
- To keep the records the law requires
- Invoices and engagement records are kept because we are required to keep them.
We do not send marketing email to people who have not asked for it. If a newsletter launches, subscribing will be a separate and deliberate act, and unsubscribing will be one click.

What we never do with it
- We do not sell it, rent it or trade it. There is no circumstance in which we would.
- We do not pass it to advertisers or data brokers.
- We do not use it to build an advertising profile of you, here or anywhere else.
- We do not make decisions about you by automated means alone.
- We do not use one client’s data to do work for another.

Who else can see it
A small number of suppliers process data on our behalf and under our instruction. They are not free to use it for their own purposes.
- Our hosting provider
- Serves this website and holds the server logs described above.
- Google Analytics
- Counts visits, for every visitor. Advertising features are switched off, so the data is not used to build an advertising profile of you.
- Microsoft Clarity
- Records page usage as replayable sessions, and only if you agreed. Enquiry forms are masked, so what you type into them never reaches it.
- Our email and CRM systems
- Hold your enquiry so that it reaches a person and is not lost. Enquiries are stored in Zoho CRM.
- Professional advisers
- Accountants and lawyers, where a specific matter requires it.
- Authorities
- Where we are required by UAE law to provide something, and only what is required.
Some of these operate outside the United Arab Emirates, so your data may be processed in another country. Where that happens we rely on the transfer conditions in the Personal Data Protection Law, including contractual protections with the supplier.

How long we keep it
- An enquiry that does not become work
- Kept for two years from your last contact with us, then deleted. Buying cycles here are long, and someone who asked in March often returns in November.
- Client records
- Kept for the engagement and five years afterwards, which is the period UAE record keeping works to.
- Server logs
- Kept for a short operational period by our hosting provider, then rotated out.
- Analytics
- Kept by Google for 14 months and then deleted. Clarity recordings are kept for 30 days, which is its maximum and cannot be extended.
- Anything you ask us to delete
- Deleted on request, unless a law requires us to keep that particular record.

How we protect it
- The whole site is served over an encrypted connection, and browsers are instructed to refuse an unencrypted one.
- The contact form posts to our own server. Credentials for connected systems are held server-side and are never sent to your browser.
- This website collects no card numbers, no bank details and no identity documents. If we ever need one for an engagement, it is handled outside the website.
- Access to enquiry and client records is limited to the people who need it to do the work.
No system is beyond reach, and anyone who tells you otherwise is selling something. If a breach ever affects your data, we will tell you and the regulator what happened, what it affected and what we did about it.

The rights you hold
Under UAE data protection law you can ask us to do each of the following.
- Tell you what personal data of yours we hold, and give you a copy of it.
- Correct it where it is wrong or out of date.
- Delete it, where no law requires us to keep it.
- Stop or restrict what we are doing with it.
- Provide it in a portable form, or send it to someone else.
- Withdraw a consent you gave, at any time, without having to explain why.
- Object to processing we are doing on the basis of our own legitimate interest.
Email hello@qubexi.com and say what you want. We will confirm we have your request and answer it within one month. There is no charge. If we ever have to refuse part of a request we will say which part and why, rather than going quiet.
If our answer does not satisfy you, you can complain to the UAE Data Office. We would rather you came to us first, because most of these are misunderstandings that a phone call fixes.

Children
This is a business-to-business website. It is not directed at children and we do not knowingly collect data about them. If you believe a child has sent us something, tell us and we will remove it.

Changes to this policy
When this changes, the date at the top changes with it. If a change materially affects what we do with data we already hold, we will tell the people it affects rather than relying on them to re-read the page.
